Property Management Administrator

The Role

1. Facilities

  • handling tenant problems
  • briefing contractors
  • maintaining telephone log
  • property inspections
  • co-ordinating small works
  • 2. Procurement

  • assisting in tendering exercises
  • preparing work orders
  • monitoring works
  • contractor liaison
  • basic negotiating on costs
  • 3. Accounting

  • checking & authorising payments
  • dealing with invoicing queries
  • monitoring payments
  • working with accounts staff
  • assisting with service charge budgets
  • 4. Administration

  • maintaining databases
  • processing legal documents
  • working on new property database
  • file management
  • maintaining key system
  • basic letter / fax / email writing
  • maintaining diary / reminder systems
  • helping out the general office when required to do so
  • The Timetable – We are looking to have someone start on 4th July 2022 so that there is a 2 week overlap & structured handover with the current Property Administrator. Therefore I would be pleased to start receiving applications & CVs straightaway so that interviews can take place in February. If possible we hope to be able to make a fairly prompt decision so that the successful candidate knows in reasonable time.

    The Term – This is a fixed term contract for between 12 and 13 months. The contract is subject to the satisfactory completion of a 3 month probationary period. We are aiming at recruiting a placement student who will return to University to complete their degree. It is therefore not suitable for graduates or students whose placement period is less than 12 months.

    The Person – Needs to be competent with a good common sense approach.  Able to learn basic
    procedures & management systems quickly.  Content to work in a small friendly office environment. 
    Willing to tackle a wide range of jobs with equal enthusiasm.  IT literate & capable of learning & using
    new software systems.  Confident in dealing with tenants & contractors by phone & face to face.

    Peer Group is a privately owned property company with property assets of around £130 million invested in approximately 50 properties. The properties are spread across the country and include multi-let offices, flats, industrial estates & shopping centres.

    A facilities management role within the property team, working primarily as an assistant to the Property Managers.
