The Intern will develop a broad understanding of the HR processes and practices by directly participating in the department’s activities as an HR Advisor within the HR Business Partnering team.

The HR Advisors across whole HR Function also enjoy operating as part of a small team to ensure the administration that underpins our HR activities and processes is delivered proactively, in the best timescales and to the highest standard, requiring a high degree of accuracy and discretion. This results in a great service delivery to our customers, and provides opportunity for making improvements to services as required. In addition, there will be opportunity to be involved in Project work within the Business Partnering team and wider HR Function.

What will you be doing?

  • Guide employees where to find information on HR related topics to resolve queries via the HR Portal, HR Services and Summit One HR intranet page/s.
  • Action contractual changes that may occur during an employee’s employment. Generate all workflows within agreed timescales and proactively manage documents with the manager / employee.
  • Produce letters (using templates) to employees as required by HR colleagues within agreed timescales, e.g. improvement notices as part of managing attendance, discipline / capability letters, consultation letters, etc.
  • Use the Occupational Health Portal to generate referrals for employees with input from HR Specialist as required.
  • Manage the upload of all locally generated HR documentation to Elida (electronic filing system), e.g. letters to employees, training, certificates, portfolio documentation, etc., ensuring adherence to the BMW Group HR Scanning & Archiving Document Policy.
  • Manage the HR email inbox and take ownership to answer queries by drafting the response involving input from HR colleagues as appropriate. Take ownership of documents emailed in relation to general HR activities, e.g. training and development, Portfolio (annual appraisal), employee engagement, etc., updating relevant return logs and uploading to Elida.
  • Manage and deliver agreed actions in support of discharging the HR responsibilities within the FCA Senior Managers and Certification Regime regulation, including conducting background checks; updating systems; escalating issues; liaising with senior managers and Compliance Function colleagues; maintaining records; etc.
  • Update HR intranet pages as required to ensure pages hold up to date information.
  • Collaborate on shared activities in support of Talent processes such as recruitment, succession planning and annual appraisal processes, etc.
  • Undertake ad-hoc HR related projects as required to support the HR team. This may include projects within the wider HR teams – Recruitment, Planning & Steering, Talent & Development.
  • Provide administrative support for the HR team ensuring activities are carried out to a high degree of accuracy and that all business requirements are met.
  • Comply with FCA rules and guidance, including the Conduct Rules that apply to all employees, a copy of which is published and updated from time to time within the Code of Conduct.
  • Propose process improvements and efficiency opportunities.
  • Contribute ideas to HR ways of working.
  • Support HR colleagues with all Operational aspects of HR including:
  • Liaise with centralized and local departments who provide HR services e.g. Recruitment and HR Services
  • Liaise with internal departments to resolve day to day issues eg Finance

Qualifications

  • Strong academic background. Studying towards a Bachelor degree - preferably in HR or other relevant field with a predicted grade of 2:2 or higher.
  • Demonstrated interest in HR
  • Strong IT skills particularly Microsoft Applications - Excel, Word and PowerPoint.
  • High degree of accuracy and attention to detail
  • Strong communication skills, both written and verbal, with the confidence and interpersonal skills to discuss queries with employees face-to-face with tact and diplomacy, ensuring a high level of confidentiality is maintained.
  • Strong organisational skills.
  • Self-motivated and proactive.
  • Ability to work as part of a team, with the flexibility and willingness to learn and support others in the team
