Marketing Support Executive Placement

The Marketing Support is responsible for carrying out the day-to-day administrative tasks of the Marketing Communication department to ensure the timely and efficient delivery of agreed external marketing communication initiatives to Amadeus customers, prospective clients and business partners.

S/he is responsible for supporting the work of the Marketing Communications team as they plan, execute and monitor campaigns, media relations and events to deliver the company’s annual business objectives for the UK and Ireland (including Corporations).

To achieve these goals, the Marketing Support should:

  • Provide administrative support for the execution of agreed communication plans.
  • Ensure performance and KPI reporting is tracked on a daily basis to provide an activity snap-shot for communication to the relevant departmental heads and/or senior management.
  • Assist with in-house design of marketing collateral, email blasts and presentations, etc.

Roles & Responsibilities

Public Relations

  • Assist with customer event venue sourcing, theming and invitations management
  • Input and maintain the Annual Events Calendar for key industry events including details of Amadeus participation where applicable

Vendor liaison

  • Work with printers, branded gift suppliers and other 3rd party vendors to ensure output meets agreed specifications and delivery timeframe

Financial

  • Raise Purchase Requests through the SAP system and send Purchase Order (PO) numbers to suppliers
  • File PO documentation for departmental records
  • Allocate PO numbers against working budget items and update budget spreadsheet accordingly
  • Investigate Finance queries by reconciling departmental records with invoices

Marketing communication implementation and monitoring:

  • Update Marketing Dashboard to provide a snap-shot of main activities and results
  • Ensure adequate stock level of Marketing collateral (e.g. folders, sales sheets, brochures etc.)
  • Work with Sales Administration staff to collate databases/mailing lists and assist Marketing department (including Products) with ad hoc administrative tasks such as Direct Marking e-mail blasts, postal mass mailings, etc.
  • Collect feedback from Sales on stock levels of collateral required (hard and soft copy) to ensure no disruption in supply of sales material wherever possible
  • Support social selling and inbound marketing activities for lead generation purposes

Branding/Design

  • Act as the brand custodian for the UK and ensure communication of the brand is in accordance with corporate guidelines
  • An Interest in and experience of using Photoshop, Illustrator and/or other image manipulation software for inhouse design would be highly regarded
  • Arrange couriers as and when required and complete necessary paperwork for invoicing
  • Maintain an image library and suggest new images (which are brand compliant) to download
  • Assist all departments to follow guidelines for producing quality communication
  • Share ideas for process improvements and take minutes at Marketing department meetings

  • Ability to problem-solve in order to see tasks through to completion is essential
  • Ability to manage day-to-day administrative activities with minimal supervision
  • Ability to work on multiple activities across a number of different businesses and work to tight deadlines and under pressure
  • Good planning skills required
  • Language: Good level of written and oral English required
  • PC skills: Excel, Power Point, Word and knowledge of creative software (such as Photoshop, Adobe Acrobat etc.) an advantage

Experience:

  • Currently or recently studied for Marketing or Event Management or relevant business related degree
