Each summer, over 75 undergrad, Masters and PhD students embrace our internship roles. Our 12-month program, iAspire, focuses on relevant project work, professional and personal development, in addition to networking opportunities. 

This position is responsible for providing specialized administrative support to relieve and assist the contracts team (analysts and managers) with advanced administrative duties. 

Tasks and Responsibilities

  • Provides specialized administrative support in respect of the preparation and collation of tender documents with minimal instructions and supervision.
  • Provides specialized administrative support in respect of the completion and submission of supplier questionnaires and related documents.
  • Assists with the routing/data inputting related to Purchase Orders, including carrying out related end user checks and confirming relevant approvals are in place. 
  • Manages our customer contracts database and ensures the links with SFDC/SAP are maintained.
  • Manages our tenders database including ensuring key tender terms are recorded in a central location.
  • Assists with the review, finalization and execution of various sales support documents, including customs agreements and certain purchase orders.
  • Inputting PO requests into Ariba
  • Coordinates activities between the department and outside parties.
  • May assist with the translation of short documents/forms where appropriate.

Preferred Educational Background

  • Bachelors degree preferred but not essential.

Must be:

  • Fluent in English and at least one other European language (our most common languages are French, German, Italian, Spanish, Nordics, Dutch)
  • Excellent communication skills and an attention to detail required.
  • Proficiency with Microsoft Office suite required.
  • Must have strong communication skills and ability to work effectively in a collaborative environment
  • Must be a self-starter

The Selection Process

Once your application has been submitted, it will be reviewed initially by our dedicated recruitment team, with shortlisted candidates being contacted via telephone, before being invited to complete a digital, video interview. The culmination of our selection process is for the finalists to attend an all-day assessment centre event at our offices.

Assessment days scheduled for 6th & 7th March 2018.
