Legal Assistant

Job Purpose

To provide support to the Legal & Compliance department in carrying out its day-to-day duties and to provide help, as required, with all of the projects that require the involvement of the department. Legal & Compliance is responsible for ensuring that Toyota (GB) PLC (“TGB”) and its subsidiary companies conduct their business operations in conformity with all applicable laws and regulations. This will mean involvement for the successful candidate in a wide range of areas of law including the following:

  • Health & Safety
  • Environment & Energy
  • Corporate & Company
  • Commercial & Contract
  • Advertising Standards & Consumer
  • Competition
  • Privacy, Data Protection & Cyber Security
  • EU & UK Vehicle Regulation, Homologation & Export Control
  • Insurance, Liability Claims and Dispute Resolution

In addition to work in the legal areas set out above, there will be involvement in implementing the overall compliance, risk and internal audit strategy of TGB.

The placement student will develop strong working relationships both internally and with other key external service providers. They will work closely with the other members of Legal and Compliance in a number of areas of law. As the placement student will be increasingly responsible for their workload they will have an opportunity to report findings and proposed solutions to issues to staff and management across the TGB business.

Legal & Compliance is responsible for reporting on the key issues that arise to senior management on a quarterly basis. The placement student will be involved in the preparation of materials for committee and other internal meetings. This will provide them with an opportunity to build relationships with staff of a senior level and to influence the form and content of reports.

There is an on-going project to ensure that all corporate policies are reviewed on a timely basis and remain entirely up-to-date. The placement student will assist with this process. This means that they will have exposure to work on reviewing, researching and drafting policies and other legal documents.

It is important to note that the placement will receive help and guidance from within the department for all tasks

Scope of Activity

The role reports to the Manager, Legal, and also requires the role holder to work with the other members of the Legal & Compliance team as well as with other staff in other departments and third party contractors.

Legal & Compliance is involved in a wide variety of work with all TGB’s business areas. Additionally some activities will involve exposure to work at a senior Group level with either Toyota Motor Europe or Toyota Motor Corporation.

The department plays a key role in reporting compliance issues across TGB’s business areas to company management. Additionally, Legal & Compliance maintains an advisory role to the business and is required to draft and implement corporate policies and other documentation as well as being able to advise on issues as they arise.

The Legal & Compliance team is currently involved in a variety of projects which will mean that our placement student will be given exposure to a range of work beyond their day-to-day workload. Current projects include:

  • Assisting with internal audit function;
  • Supporting the implementation of a Contract Management Policy;
  • Assisting with the implementation of HSEQ Management System; and
  • Implementing new corporate policies to cover areas such as the prevention of financial crime and anti-competitive practices.

The Placement Student will have an opportunity to provide support in relation to each of these activities.

Key Responsibilities

IT & Systems Administration
Assisting in developing and implementing the information management system which is used to hold all information relating to legal and regulatory compliance for TGB. The placement student acts as the administrator of the system and is responsible for setting their access right, responding to queries or requests for information and seeking answers to technical queries.

Audit Planning
Assisting in the research, planning and conduct of internal audits across TGB’s business functions. Over the course of 2017 it will be important for Legal & Compliance to conduct a full review of the data protection and document retention processes in place across TGB. This will include an audit of the data that we hold as an organisation and establishing retention guidelines. The exercise will provide an excellent opportunity for our placement student to be involved in a particularly important and developing area of law.

Policy Review
Assisting in the review and update of TGB’s corporate policy documents. This may involve assisting in legal research as well as gathering information to benchmark TGB’s documents and procedures against those of other organisations. The policies cover a broad range of legal subjects including health and safety, environment, vehicle type approval, competition, data protection, website compliance, advertising and financial services.

Committee Reporting
Preparing reports and materials for presentation to the Governance Risk & Compliance Committee on a quarterly basis. This work will involve analysis and interpretation of data as well as drafting clear, concise materials to illustrate trends.

Vehicle Registration and Approvals
Providing assistance to the Legal & Compliance team in relation to the process for registering new vehicles and obtaining approvals for changes and enhancements to vehicles. This will also involve work with to assist with customer queries and requests.

Drafting & Legal Research
Conducting research and reporting on developments in legal and compliance issues. Providing assistance with drafting legal or contractual documents as required.

The Placement Student can expect to be given greater responsibility in relation to each of these activities as time progresses and they demonstrate their capability to take on new areas of work.

Essential Skills, Experience and Qualifications

  • Proficient in all Microsoft packages and confident to be able to work with new systems
  • Good organisation and time management skills
  • Flexible, adaptable and able to take on new areas of work
  • Willing to learn and able to fit into a team
  • Inquisitive and analytical
  • Articulate orally and in writing
  • Confident and tactful
  • Minimum of 5 GCSEs or equivalent including English and Maths
  • Minimum of 3 A levels or equivalent
  • Good literacy and numeracy

This role is particularly suitable for those studying for a Law degree, or combined degree that features Law modules

Desirable

  • Interest in all areas of law and/or the workings of a commercial business
  • Driving licence
