Role Description

• Ensure all e-mails are read and actioned daily and maintain all filing systems.

• Uphold the buying sample library ensuring that it is kept accurate and up to date.

• Prepare rails for meetings and sign offs.

• Ensure all photographic samples are chased in time for shoots.

• Collate samples for internet, press and windows as required.

• Ensure all product range boards are completed and maintained.

• Complete Ad hoc order maintenance.

• Monitor order processes, ensuring that all orders raised are input correctly onto the Debenhams system.

• Monitor deliveries – liaise with AM’s regarding weekly intake, advising of any changes to orders/delivery issues. Liaise with suppliers to check critical path dates are being met to achieve our delivery.

• Ensure all order approval summaries are pulled off, checked and that orders are approved in sufficient time prior to shipment.

• Sets up new suppliers when required.

• Booking products- Four times this year help to select a range to go into Debenhams from Ben Sherman. This will consist of two main buy ranges and two injection buy ranges for each brand.

• After booking- Ensure delivery of product on time and correct styles. This goes from initial product filing (allocating sku numbers) raising purchase orders to ensure correct delivery to correct warehouse and allocating stock to stores working closely with the merchandiser during this process.

• Go through the Monday morning pack weekly using company figures to pull out the best and worst sellers. Collate these products and presents them to the team talking through their reaction to sales.

• Manage the critical path of each style from point of order to delivery, i.e. chase lab dips, strike offs, trims, sealers, bulk fabric and production samples to ensure that deliveries are on time identifying any problems and agreeing solutions with Senior AB.

• Check and approves lab dips, strike offs, bulk and trims on agreement with Buyer/AB.

• Prepare for and attend fit sessions to develop technical and QC skills. From this QC comments must be administered and updated the system before approval.

• Work closely with technologist to assist and maintain quality control of all product samples, e.g. raising any test report concerns.

• Create CV’s to send to store advising of key sellers and merchandising techniques.

• Undertake regular store visits to identify issues and ensure any necessary action is carried out.

• Carry out monthly competitor shopping reports in various regions see what competitors are selling and how much for then present the findings to the team.

• Research information to assist the building of a range and development of products, i.e. magazines, comp/aspirational shopping.

• Organise team and department meetings if required, gathering relevant information as requested by Buyer/Merchandiser.

• Attend team and department meetings, contributing to discussions and taking detailed notes/ minutes on action points.
