HR Administrator and Trainee Business Partner

We would like to offer a Human Resources placement in a HR administration/ Business Partner function. In this role you will report directly to the HR Manager.

Those applying for this role must be studying a HR related degree or be able to demonstrate a keen interest in HR.

The role will become a mix of Administration and Junior HR Business Partner, tasks will include:

  • Dealing with employee queries (by phone, e-mail and in person) as the first point of contact for various geographical regions within the business.
  • Handling and escalating these queries as required.
  • Attend monthly management meetings to review your regions of the business
  • Ensure that HR databases are up to date with accurate employee information. This will include entering new employee information; amending existing records; terminating employees from the system when they leave.
  • Chasing and recording new employee references, providing previous employee references and tenancy/mortgage references for current employees.
  • Providing administrative support to HR Business Partners.
  • Raising purchase orders through an automated purchase order system.
  • Filing – creating new files for employees; filing employee details into individual personnel files; scanning of leaver documentation, ready to be stored with Iron Mountain.
  • Liaising with payroll as required for new starters, leavers, pay changes or general payroll queries.
  • Run sickness reports on a monthly basis, liaise with managers where staff have exceeded their sick entitlement or are close to it, and provide updates to payroll each month before cut off.
  • Work with the employee, manager and Occupational Health provider to arrange occupational health referrals for employees.
  • Liaise with employees during the maternity/ adoption/ paternity processes.
  • Update the HR and Learning and Development UK& I Sharepoint pages.
  • Support the UK&I Learning and Development lead to implement and promote the training available to all employees.
  • Attend fortnightly calls with the EMEA Learning and Development team to discuss and compare training metrics and procedures in HP CDS across the EMEA countries.
  • Attend social committees to arrange charity fundraising at HP CDS.
  • Working with managers and employees to facilitate resolution of issues including attending, providing HR guidance & minuting disciplinary, grievance and appeal meetings.
  • Work alongside HR Business Partners in the redeployment process.
  • Prepare redundancy quotes.
  • Review of HR metrics on a monthly basis with managers.
  • Review and development of policies and procedures.
  • Attending employment law seminars and applying knowledge learnt to employee queries and HR processes
  • Act as a key interface within the intern recruitment for 2016 and the on boarding of the new HR intern.
  • Using due diligence information to process TUPE In’s and Out’s.

Key attributes of a strong candidate would include:

  • Keen interest in Human Resources.
  • Strong communication skills (written and spoken).
  • Ability to build relationships with people both face to face and remotely.
  • Ability to maintain a high level of confidentiality at all times.
  • Good Microsoft skills in Word and Excel and ideally PowerPoint and Outlook.
  • Self-motivated.
  • Keen to make a difference.
  • Good time management skills
  • Flexible and confident to be able to fully participate in a small, busy team.
