Department overview

The Time Warner Worldwide Recruitment and Executive Search, International department has a team of 7; we provide an in house Executive Search service to all divisions, including Turner, CNN, HBO and Warner Bros. in Asia, EMEA and the UK. Our research team provide extensive research and Market Intel on Senior Talent / Executives across multiple territories including emerging markets, both internally and externally. Our search team then work with our clients to deliver qualified, diverse candidates for key roles and support this all the way through from talent identification, candidate assessment and selection and offer / placement.

This intern placement would provide an ideal opportunity to gain experience across all Executive Search, Recruitment and office work in our very busy team, working with employees at all levels of seniority.

Primary purpose of position

To work in tandem with the TW Worldwide Recruitment and Executive Search, International team, supporting the Recruitment Assistant with office management and administrative service that enables the team to enhance the delivery to clients and implement top quality recruitment strategies. Respond to general enquiries and route calls as appropriate. Manage search and recruitment administration as required.

Key responsibilities

General Recruitment Administration

Work in conjunction with the Recruitment Assistant to ensure accurate and timely administration for the recruitment processes:

  • Update the Candidate Database with candidate and client information
  • Support the creation of shortlist packs / presentations
  • Manage the International Recruitment mailbox
  • Recommend new processes to maximize performance and minimize manual work load – i.e. automatic candidate responses
  • Process invoices for team
  • Arrange and coordinate travel arrangements for team, clients and candidates as required
  • Manage team social media sites including Asia Facebook, LinkedIn and WWR International Twitter
  • Support the office requirements for team, i.e. booking meeting rooms, liaising with facilities/I.T and other general office needs
  • Prepare and process expenses for team
  • Photocopy, file and record documents when necessary
  • Screening and directing calls for the team as required
  • Manage visitor experience i.e. reception collection, refreshments, office bookings
  • Support research team where appropriate to identify target companies and talent
  • Carry out full ‘housekeeping’ exercise on candidate database and update to ensure full data captured
  • Ad hoc duties as required, including key projects as agreed

Provide general office admin support including but not limited to:

  • Order stationary for team
  • Organise and distribute the post

Knowledge/skills/abilities

  • A good knowledge of the Microsoft Office Suite including, Word and Excel.
  • Experience of using the internet for research purposes.
  • Business Studies, Human Resources Management or Psychology undergraduate preferred.
  • Experience in a customer facing office environment preferred.
  • Must be well organised and self-disciplined, with the ability to prioritise workload and use time effectively.
  • Must be able to take initiative and work with limited supervision.
  • Must be able to work on multiple assignments/flexibly.
  • Able to communicate with people at all levels in a professional and mature manner.
  • Should be a team player with excellent interpersonal skills.
  • Should have good GCSE and A levels results
  • Should have an interest in generalist Human Resources particularly Recruitment and HR Administration.
